Listen, Design, Build, Live – Our 4 phase approach to ensure the success of your project.
In a traditional remodel process, you may work with an architect, engineer and design professional to generate plans that you bid out and hire a contractor to do the work. As the client, you spend a great deal of time coordinating and managing the project. This process tends to be very inefficient.
If you have been looking at doing a remodeling project, you likely have come across the term “design-build”. Design-build is a term used to describe how your project will be managed. In this process you hire a firm that provides all of the services (whether in-house or partners) for a more efficient process. This process, although more efficient than the traditional remodel process, is still missing the focus of what happens before the design and after the build phases.
Tischendorf Remodeling has developed a 4-part process that takes into account not only the active project but what happens before the project actually starts and after the project is completed.
Our Process
Listen
We are active listeners and believe this is one of the most important skills in what we do. We listen to obtain information, we listen to understand, we listen for enjoyment and we listen to learn. Being a good listener first we can clarify and confirm what our clients want and avoid conflicts and misunderstandings later in the project.
Initial Contact
During this phase of the process we listen to your vision, ask and answer your questions. We carefully document the conversations and other important information. The information you provide is carefully reviewed to ensure that we are a good fit for your project before we even make our first visit. As much as we want to be your contractor for every project, sometimes we may not always be the best fit. We help you determine this by reviewing a set of standard information including location, type, timing and budget. When we are the right fit, our team will work with you to set up the initial visit and what will occur.
Initial Visit
One of our sales estimators will meet you at your project at a designated day and time. The first step will be to review the information that we have already collected to clarify and confirm the scope of the project. We will then ask you to describe the project and any detailed information about what you want and don’t want while touring the space to be remodeled. All information will be carefully collected and documented. A series of questions will be asked and all your questions will be answered to the best of our ability. Documentation will include all information you have verbally shared with us, a preliminary layout of the existing space with measurements and a series of photos documenting the space and all utilities. Before we leave, we will confirm all information and provide you with a document detailing the process that will occur going forward.
Preliminary Proposal
Within 5 business days, our sales estimator will send you our preliminary proposal through our project management system. This proposal will cover our discussion, your ideas, specific requests of yours, and apply a reasonably expected value for your project. Our Proposal to you will be a “+” or “-” 10% valuation, based on our inspection, with a rough projected start date.
Design
We believe that seeing your design rendered digitally early in the design process helps you visualize the outcome. That’s why we use CAD based software and employ experienced designers to help you through the design process. We further ensure the success of the design by providing you with samples of the products for signoff before we ever start your project.
Proposal Approval
During this phase you will review our proposal to determine if we have accurately documented your vision and our costs align with your budget. We will attempt to follow up with you over the next several weeks if we have not already heard from you. Once you approve the proposal, we ask that you sign, date, & return the included agreement and remit the indicated deposit, both of which can be completed online through our project management portal.
Detailed Design/Cost
Immediately after receipt of your signed agreement & deposit, our design team will be in touch to begin the process of creating your vision in a digital format. This process will consist of communications by phone, email, online and in-person meetings based on your communication preferences. During this phase, together we will determine the scope of the project, making material choices and verifying the overall design. While the detailed design is being created, the actual costs will be documented in preparation for sharing with you. The design and options will be dynamically tied to the detailed costs so you can easily see how options will affect the overall costs of the design. The time that this process will take will vary based on the size and complexity of the project.
Approve Design and Costs
Once the design, selection of materials and costs that we have presented are completed, simply sign, date, & return the contract with the initial deposit. At this point, we will be able to lock in your start date.
Build
We know that you expect the actual work to be as good as the design you approved. We have spent years finding the best trades people to work on your project. We use cloud-based project management software to stay engaged with you on a daily basis. Through daily job logs, weekly video meetings and more you can stay connected wherever you are.
Manage Materials
All materials are ordered, received and quality-control checked, usually 60 days prior to project start. This is to ensure that there will be no delays caused by lack or quality of materials. If any materials do not pass quality control, there is time to order replacements.
Staging
All materials not delivered directly to the jobs are staged in our warehouse safely until the implementation teams require them on the job site.
Schedule Resources
Based on the start date, the project manager will develop a comprehensive schedule detailing the steps, time needed and resources to perform the tasks. This schedule is made available to you so that you may monitor the progress of the project once it starts.
Specification Documentation
A preliminary set of documentation is created both digitally and physically to represent the project. This documentation contains all of the information necessary so all resources involved in the project know what will be done, when it will be done and what it is supposed to look like. Revisions are made as necessary.
Internal Project Review
About two weeks before the project is scheduled to start, the project manager will meet with the lead carpenter responsible for your project. In this meeting, a detailed review of the project will be conducted and the lead carpenter will be given all documentation on the project to review and comment on. Any changes or additional information are provided to ensure the project scope and steps are well understood.
Client Pre-Project Meeting
About one week before the project starts, the project manager will meet with you to review the project and ensure that there are no changes to the start or scope of the project. You will review the project and be trained on how to use our project management portal to monitor the progress and communicate with the team. We will discuss what you should expect on a daily/weekly basis and finalize logistics, work hours and access to the project. You will also learn who your lead carpenter will be and the frequency of how often the project manager will meet with you and be performing site visits.
Project Production
During the actual production phase, work will be performed on the project by our resources. The lead carpenter will be available for you to speak to at the beginning and end of each day. They will be responsible for the day-to-day work performed. This will be documented through a daily job log indicating the work done that day, what will be done on the next work day and photos of the work. Typically the project manager will make weekly site visits and approve the work as the project moves from phase to phase. The project manager will also be reviewing daily job logs, addressing any changes, issues and updating the project schedule.
Progress Payments
Each week you will receive an invoice for the previous week’s work. For efficiency and convenience, our project management portal allows you to make these payments online.
Change Orders
During the project sometimes the scope can change. Using our project management portal we can define these changes where you can review and prove them digitally.
Live
Ultimately our goal is to finish your project on time, on budget and you feeling 100% satisfied with the work and your experience with us so you can enjoy your new space. Before we leave we will agree to a final list of items that need to be completed. To ensure we are providing the best in class service, you can give us feedback through a survey and provide us with a review
Punch List
Once all core tasks are completed the project manager will meet with you to do a site walk-through and document any agreed upon tasks to be completed or quality issues to be addressed. A signoff will occur and the warranty phase of the project will start.
Survey & Photos
About two weeks after the project is completed, we will call to make sure everything is as it should be. We will request a time to do a photo shoot of the finished project. During the photo shoot, we would also appreciate a review of your experience with us. We use this information to improve our processes, quality and performance.
Warranty
During our warranty period, should you have any questions or issues, you can submit warranty requests through our project management portal. Non-emergency requests are usually answered within a few business days and the work is usually scheduled within 1-2 weeks.
